Before launching your campaign
Make sure you’ve taken care of the essentials to set your campaign up for success. While not all steps are required, we recommend reviewing this list:
Uploaded your campaign brief to the application form
Set compensation (flat payment/affiliate commission/ product) for each influencer
Configured your email flows for each step (initial outreach, follow-ups, etc.)
Linked your sender email address to the campaign
Important: this can’t be changed after launch
Imported your influencers into the campaign
Here's a helpful video on how to do this:
1. Invite your influencers
You can send invitation emails one at a time or in bulk, depending on your workflow.
Option 1: Invite individually
Click
to open the email editor for a specific influencer.Click Preview to double-check the email and ensure the application link and other merge fields are functioning properly.
Click Save and Send.
Option 2: Invite in bulk
Select multiple creators.
Click Bulk actions > Move to next step > Send invitation email.
In the popup, choose what you want to do with the Send email toggle:
On: click Continue to email to open the email editor and send the invitation
Off: click Move creators to skip sending the email and move creators directly to Awaiting application
If you’re sending the email, use Preview to confirm merge fields and the application link display correctly.
Click Save and send.
Notes:
Use a hyperlinked “HERE” text for the application link in your template to avoid long URLs.
Creators who have already been invited won’t receive duplicates.
You won’t be able to preview emails until influencers are added to the campaign
You can’t preview emails until creators are added to the campaign.
If you skipped the invitation email by accident, click the back arrow (<) next to Awaiting application to move them back.
2. Follow-ups and replies
Automatic follow-up emails
If an influencer doesn’t apply or reply, and their status hasn’t been manually changed, a follow-up email will be sent automatically based on your configured settings.
Replying to creator emails
If a creator replies, you’ll see a red envelope notice.
To reply:
Click the envelope icon, or
Click the influencer’s name to open the email tab and send a personal response
Pro tip:
Use the Jaice AI reply tool to draft or refine replies. You can use it to:
Write a friendlier or firmer response
Adjust tone, fix grammar, or translate your message
Shorten or expand your reply
Note: Jaice AI can be disabled upon request for compliance needs.
3. Move influencers to the next stage
When you’re ready to move forward with someone, you can update their status directly from the campaign table.
Actions (one by one)
Click Shortlist: This is for internal use only; the influencer won’t be notified
Click Approve: This sends an automatic notification letting the influencer know they’ve been accepted
Don’t want to notify them? Use Skip (>) instead to move them forward silently
To reject an influencer, click the X
They won’t be notified automatically, so we recommend sending a polite follow-up email
Actions at scale (bulk)
Shortlist: Select creators > Bulk actions > Move to next step > Shortlist creator
Approve: Select creators > Bulk actions > Move to next step > Approve creator
Reject: Select creators > Bulk actions > Move to next step > Reject creator
4. How influencer statuses work
As influencers respond to your invitations, their statuses will update:
Action | Status |
Invitation email sent, no reply | Waiting application |
Influencer submitted application | Influencer responded |
Influencer submitted a counter-offer | Counter-offer received |
Influencer replies to email | (No status change) Red envelope icon appears, profile will be listed at the top of your dashboard. |
You click Shortlist | Shortlisted or Influencer applied if flat fee is set |
You click Approve | Influencer approved |
You click Reject | Influencer rejected |
You can use the Status filter to quickly find and manage a specific group of influencers you'd like to focus on during your campaign.
