How to personalize emails using merge fields and fallback values

Learn how to personalize your influencer emails using merge fields and fallback values for effective communication

Merge fields allow you to easily personalize your emails by dynamically inserting details from influencer profiles, such as their name, social media handle, or any custom merge fields you’ve created. This helps ensure your emails feel tailored to each influencer, making them more engaging and less like mass-sent messages.

I. How to Add Merge Fields to Your Emails:

Merge fields are dynamic placeholders that pull information directly from the influencer profiles. You can either use Upfluence pre-set merge fields or create your own merge fields.


You can insert merge fields while editing your email:

  1. Use the merge field box on the right side of the email editor.

  2. Or, type {{ directly in the email body, which will display a list of available merge fields.

  3. Select the appropriate merge field, such as the influencer’s name or social media handle, to personalize the email.

Tip: You can also add merge fields to the email subject line for a personalized touch that increases open rates. To do this, manually type or copy the merge field from the email body into the subject line.

II. Handling Missing Merge Fields:

If a merge field is missing from an influencer’s profile, Upfluence will not send the email to that influencer. For example, if you have 100 influencers and 1 is missing a custom merge field (like {{last_name}}), only 99 influencers will receive the email. Upfluence will display an error in the Mailing tool under the Message column for any missing fields.

III. Using Fallback Values:

To ensure your email is still sent even when a merge field is missing, you can define a fallback value.

A fallback value automatically replaces a missing merge field with a default value. For example, if you’re using the merge field {{last_name}} and an influencer doesn’t have that information, the fallback value (e.g., “there”) will be used instead.

IV. Checking Your Emails Before Sending:

Preview Mode

Preview Mode helps you check how your emails will look for each influencer before sending. It replaces merge fields with actual data from the influencer profiles, making it easy to spot any missing information.

To enable Preview Mode:

  • Toggle on Preview Mode in the email editor.

  • The system will show the content of your email with actual influencer details, using the following colour codes:

    • Green: Merge field data is available.

    • Yellow: Merge field data is missing but has a fallback value.

    • Red: Merge field data is missing, and no fallback value is defined.

You can also use the dropdown menu to preview emails for specific influencers, allowing you to identify and fix missing fields before sending. Icons next to influencer names will flag profiles with missing data.
