How to use merge fields to personalize your influencer emails

Easily customize email content with dynamic fields that pull directly from influencer profiles

Merge fields help you send emails that feel tailored to each influencer by automatically inserting details like their name, social handle, or any custom info you've added to their profile. These small touches make a big difference in engagement — no more generic, mass-sent messages.

1. Add merge fields to your emails

Merge fields are dynamic placeholders that pull data from influencer profiles. You can use built-in fields or create your own custom ones.

Here’s how to insert them:

  • Use the merge field box on the right side of the email editor, or

  • Type {{ directly into your email to bring up a list of available fields

Just click on the field you want — like {{first_name}} or {{instagram_handle}} — and it’ll be added to your message.

Tip: You can also use merge fields in your subject line! Just type or paste them into the subject for a more personalized touch that helps boost open rates.

2. What happens if a merge field is empty?

If a merge field doesn’t have a value in a profile, the email won’t be sent to that influencer.

For example, if one out of 100 influencers is missing a value like {{last_name}}, only 99 emails will be sent. You’ll see an error under the Message column in the Mailing tool for any affected profiles.

3. Use fallback values to avoid missed emails

To prevent missing data from blocking email sends, you can define a fallback value.

A fallback value automatically replaces a missing merge field. So if {{last_name}} is missing, you can set it to use a default like “there” — turning “Hi {{last_name}}” into “Hi there”.

4. Preview your emails before sending

Use Preview Mode in the email editor to see exactly how your message will look for each influencer.

When enabled, Preview Mode shows real data in place of merge fields and uses colour codes to highlight potential issues:

  • Green: Data is available

  • Yellow: Data is missing but a fallback value is set

  • Red : Data is missing and no fallback is set

Use the dropdown to preview specific influencers and check for missing fields. Icons next to influencer names will also flag profiles that need attention.
