How to create and manage influencer gifting orders from Campaign

Creating and tracking compensation orders in your e-commerce-integrated Campaigns

If your Upfluence plan includes the Campaign module, managing product orders for creators is simple and efficient. You can create product gifting orders for creators directly from your campaign, without manually rebuilding orders in your store.

Before you get started

Make sure these prerequisites are met before you create orders:

  1. Your Shopify, WooCommerce, BigCommerce, or Magento shop is connected to Upfluence. (See our integration documentation for setup steps.)

  2. You have permission to create draft orders in your shop.

  3. Your campaign is set up to offer gifting products, so creators can select products when applying.

  4. Products were directly imported from your shop into Campaign compensation settings (not manually typed in).

1. Create compensation orders for influencers

You can create orders in bulk or one at a time.

Option 1: Create orders in bulk

  1. Filter and select the influencers you want to send products to

  2. Click Bulk actions > Create orders > Create compensation order

  3. In the popup, review the order details:

    1. Influencer names

    2. Product selections

    3. Shipping details (name, phone, address)

    4. Order amount and value

  4. Click Create compensation order(s) to confirm.

Need to adjust product selection or shipping details first? Use the Edit option in the Product gifting and Shipping address columns.

Note: Creators must be at least Influencer approved before you can create an order. If needed, click Shortlist > Approve first.

Option 2: Create an order one-by-one

  1. In the campaign table, Product gifting column, click the shopping cart icon next to the product name.

  2. Review the summary window:

    1. Shipping information (name, phone, address)

    1. Selected products and shop

    2. Order amount and value

  3. Click Create compensation order to finalize.

2. What happens in your shop

When you create a compensation order, Upfluence creates a draft order in your store with:

  • A 100% discount code applied

  • An order label/tag indicating creator compensation (for Shopify: Upfluence_creator_compensation)

  • Your shop’s analytics remain clean, real customer data isn't affected

3. Tracking order status in Upfluence

In the campaign table view, you’ll see order status icons:

  • 🟡 Pending – Order is created but not yet marked as shipped.

  • 🟢 Fulfilled – Order has been marked as shipped in your store.

View order details

  1. Click the yellow box icon in the campaign table.

  2. Select View More to see full order details in your store.}

4. Notify creators that their product has shipped

Once you’ve created the compensation orders (and you’re ready to confirm shipping with creators), the next step is to send a shipping email from Upfluence.

Send the shipping email in bulk

  1. In your campaign table, select the creators you want to notify.

  2. Click Bulk actions > Move to next step > Send shipping email.

  3. In the popup, choose what you want to do with the Send email toggle:

    • On: click Continue to email to open the email editor and send the shipping email

    • Off: click Move creators to skip the email and move creators directly to Shipped product status

  4. If you’re sending the email, review it in the email editor, then click Save and send.


Modify or cancel orders

  • After order creation: update shipping details or products directly in your store’s Orders section.

  • To cancel an order: follow your platform’s cancellation process in your e-commerce backend.


FAQs


1. Can I create an order if a product is out of stock?

  • If you are a Shopify user:

    • You will receive a warning message asking if you want to proceed with a negative stock or update the product selection before creating the order.

  • If you are not using Shopify:

    • No, a pop-up will notify you that the order cannot be created due to insufficient stock in your store.


2. What should I do if a product is out of stock?

  • Option 1: Update the selection in Upfluence by replacing the item with another product.

  • Option 2: Update stock in your store, then return to Upfluence and create the order.


3. Upfluence shows “no stock,” but I’m sure stock exists. Why?

This is often caused by inventory location coverage. The product may be in stock, but only at the locations that doesn’t ship to the creator’s address.

Try moving inventory to another location, or expanding shipping coverage for the location that has stock.


4. Can I create an order without an influencer's email address?

No, an email address is required. If missing, click “Edit Email” in the influencer’s profile to add one.


5. Why can't I create an order for my creator?

There could be several reasons why you are unable to create an order for your creator:

  • Product is out of stock or has been deleted from your store.

  • Your e-commerce shop has been disconnected, or the integration has not been shared with you.

  • The product was manually added to the Campaign instead of imported from your store.

  • The following countries require extra information we don't collect/provide when creating orders.
    But don't worry, once click on the order creation button, a draft order will be created in your Shopify, can manually validate it there.


6. Shopify orders: does it choose a shipping method, and does the phone number sync?

Yes, when an order is created in Shopify via Upfluence, the fulfilment process, including the choice of shipping method, is determined by the store's specific rules, which can vary based on factors like product type or destination location.

Importantly, orders created through Upfluence will include a phone number in the shipping address, ensuring that all necessary contact information is synced over to Shopify.


7. Can I use third-party inventory tools (e.g., Acumatica) with Upfluence?

Yes, if you manage inventory with Acumatica on Shopify, it will not affect Upfluence’s one-click product shipping.


8. Does the one-click order feature work with Magento worldwide?

Yes, Magento’s one-click order functionality works in all countries.


9. How are Magento orders tagged when shipped to influencers?

Magento does not tag orders with Upfluence branding


10. How are gifting orders tagged in WooCommerce?

In WooCommerce, open Orders, click an order, and look for the label: upfluence-compensation-order.


11. What if my third-party fulfilment service doesn’t recognise Upfluence orders?

You can edit the shipping method in your integration settings to ensure third-party services recognise the order. Check this article to learn how to change the shipping method.


12. Is an integration necessary for a product to be shipped to influencers?

Yes. You need an active integration with your e-commerce shop to create gifting orders through Upfluence.


13. Will Upfluence notify me when an influencer receives their Shopify order?

No, Upfluence does not provide delivery notifications for Shopify orders. You’ll need to track shipments within your eCommerce platform.
