How to send a product shipment email to influencers

Notify creators once their gifting products are on the way, then keep the workflow moving

After you send compensation orders, you may want to tell creators that the products they chose as gifting compensation have shipped.

This step is available only when product gifting is enabled in your compensation settings, and it should be used after you’ve scheduled shipment using one of the options below:

  • Offline shipping: You manage shipping manually.

  • One-click product fulfillment: You use our Shopify, WooCommerce, BigCommerce, or Magento integration to create an order directly in your store. More details

1. Send Product shipment email

You can send the Product shipment email in bulk or one at a time.

Option 1: Send in bulk (recommended)

Use this when you’re ready to notify multiple creators at once.

  1. In the creator table, find creators who should receive the shipment email:

    1. Filter Product gifting by With value, or

    2. Filter Status by Influencer approved

  2. Select all creators in the filtered view.

  3. Click Bulk actions > Move to next step > Send shipping email.

  4. In the popup, choose what you want to do with the Send email toggle:

    1. On: Click Continue to email to open the editor, then send the Product shipment email.

    2. Off: Click Move creators to skip emailing and move creators directly to Shipped Product.

  5. If you’re sending the email, click Preview to confirm merge fields look right, then click Save and send.

Notes

  • Use a hyperlinked HERE text for links in your template to avoid long URLs.

  • Creators who were already informed won’t receive duplicates.

  • You won’t be able to preview emails until creators are added to the campaign.

  • If you skipped a previous email step by accident, click the back arrow (<) next to Shipped Product to move creators back.

Option 2: Send individually

Use this when you only need to notify one creator.

  1. Click Send shipping email on the creator’s row.

  2. In the email editor, click Preview to confirm merge fields are working.

  3. Click Save and send.

2. Next steps

Once products are marked as shipped, you can either manage replies, move creators forward to request drafts, or rely on automatic follow-ups.

Reply to creator emails

If a creator replies, you’ll see a red envelope indicator.

To reply:

  • Click the envelope icon, or

  • Click the creator’s name, open the Email tab on influencer side panel, and send a personal response.

Use the Jaice AI reply tool to draft or refine replies. You can use it to:

  • Write a friendlier or firmer response

  • Adjust tone, fix grammar, or translate your message

  • Shorten or expand your reply

Move creators to the next stage (bulk)

  1. Filter Status by Shipped Product.

  2. Select all creators in the filtered view.

  3. Click Bulk actions > Move to next step > Send draft email.

The draft email is customizable, so you can edit it even if you’re using it as a reminder or content chaser.

Move creators to the next stage (one-by-one)

  1. Click Send draft email on a creator’s row.

  2. Click Preview to confirm {{draft_link}} and other merge fields appear correctly.

  3. Click Save and send.

Let the system follow up automatically

If a creator doesn’t reply and you don’t manually change their status, the system will send follow-ups automatically based on your email flow settings.

3. Skip the shipment email (optional)

If you want to move creators forward without sending the shipment email:

  1. Select the creators.

  2. Click Bulk actions > Move to next step > Send shipping email.

  3. Toggle Send email to Off.

  4. Click Move creators to move them directly to Shipped Product.
