Once you’ve created your campaign, the next step is configuring email automation. This ensures timely communication with influencers by sending invitations, shipping updates, draft requests, publication instructions, and payment reminders.
Each campaign includes 4-5 preset email steps, depending on the campaign type:
Inviting influencers
Shipping updates (if applicable)
Draft requests
Publication instructions
Payment reminders (if applicable)
You can set up an initial email for each step, followed by automated follow-ups if the influencer doesn’t respond.
This guide will walk you through setting up and customizing your email automation.
Accessing email automation
You can manage your emails in the Email flows tab, located at the top of your Campaign page. This is your central hub for:
Customizing default email templates.
Automating follow-up emails.
Adjusting sending settings.
On the left sidebar, you’ll see a list of key steps. Select the step you want to modify to customize its emails.
Two types of emails in each key step
1. Initial email – Sent manually
The initial email is sent when you click the action button for a Campaign step (e.g., inviting an influencer, requesting a draft).
How it works:
The email sequence starts with Box 1️⃣ "SEQUENCE START".
Box 2️⃣ "Click on Button" triggers the initial email.
To edit the initial email, click the Settings button in Box 3️⃣ "Send Email" to adjust details.
You can also click "View and Edit" to customize the email content.
2. Follow-up emails – Sent automatically
If an influencer doesn’t respond within a set timeframe, follow-ups are sent automatically.
Follow-ups include three key components:
DELAY Box – Set the number of days before sending a follow-up.
CONDITION Box – Define when follow-ups should stop (e.g., influencer replies, submits an application, or is manually updated in the dashboard).
ACTION Box – Sends the follow-up email.
To configure follow-ups, click the gear icon (⚙️) next to "Delay" to adjust settings.
Important: Follow-ups automatically stop if the influencer:
Replies to your email.
Takes action in the Campaign (e.g., submits an application).
Is moved to a different status (e.g., shortlisted or rejected by you).
This prevents unnecessary emails and ensures a smooth influencer experience.
Additional email flow settings
In the Email flows tab, you can also:
Change outreach status – Activate or deactivate email sending for the Campaign.
Adjust sending settings – Set or review the sender email address.
Note: Once emails have been sent, the sender cannot be changed without starting a new thread.
Manage Campaign integrations – Link a tracking plan to your emails.
Note: Once emails are sent, the tracking plan cannot be changed.
Frequently asked questions
1. Can I change the discount plan/tracking plan link in my mailing?
You can change the discount offer link in your mailing only if you haven't sent the mailing yet.
If the mailing has already been sent with the discount plan link, it's not possible to alter it. In such cases, you will need to create and send a new mailing with the updated discount offer link.
2. Can I send 2 coupon codes in the same mailing, one for the influencer and one for their followers?
No, in each mailing, you can only connect with one tracking plan, so technically, you need to send 2 different mailings for this use case. However, there's a trick:
When creating a tracking plan, remember the pattern for the extra discount code you want to use, for example, "username+20OFF".
In the email content, use the merge field “username” and then manually add “20OFF” behind it.

3. Can we set specific dates and times for the mailing to be sent?
Setting specific dates and times for the mailing to be sent is not possible at the moment.
4. Can I change the email sender after creating my campaign?
Yes, you can change the email sender after creating your campaign, but only if you have not yet invited any influencers.
5. I see an error message saying "Missing application link in this email" - what does it mean?
This means an {{application_link}}
is missing in an application form email. It's just an advisory and do not block emails from being sent.
