How to set up automated follow-up emails with Email flows?

After finish setting your campaign, the next step is to set up your emails and get it prepared for your communication with creators.

What are 'Email flows'?

"Email flows" is your email hub within a campaign, here you can set and modify all the campaign default emails and their sending settings, making it easy for you to make sure the outreach performance will be up to your standards.

Navigating the Email flows page

In your campaign, you will see the 'Email Flows' tab at the top. On the left, there is a sidebar where you can select the email template you want to work on. Once selected, you can start working on the 'Email Flows', which is the combination of actions and conditions you choose.

Once you have selected one you will be able to start working on the 'Email flows' which is the combination of actions and conditions of your choice.

The default Email Flows contains three basic blocks:

1️⃣ Start Block: Used as a reference.

2️⃣ Sequence Condition Block: Details the condition that must occur for the action to take place.

3️⃣ Action Block: Set the specifics of the action, including the email content to be sent.

By clicking on a block, an action or rule panel will appear on the right side, where you can make edits and see more details about your current setup.

When an action block is selected, the action panel appears on the right side of the screen. Here, you can modify the selected block and get essential information, such as when an application link is missing in an application form email.

Note: A missing {{application_link}} won't prevent your email from being sent; it's just a notification.

Adding new emails to sequences

At the bottom of the sequence, you'll see a '+' button to add a new email to the sequence. This automation helps with following up with influencers. Adding a new email to the sequence will include three blocks:

1️⃣ Delay Block: Select how much time to wait before following up (e.g., 3 days).

2️⃣ Condition Block: Set the conditions that trigger the action (e.g., lack of influencer response).

3️⃣ Action Block: Work on your email content.

Understanding the follow-up conditions with the rule panel

The TIME DELAY refers to the amount of time before checking if an influencer meets the conditions.

For example, "No reply from creator" or "No status changes from either you or the creator" means a follow-up email will be sent unless the influencer replies to your thread or fills out the application form, or you manually change their status on Workflow dashboard.

Settings for individual blocks need to be modified through the action or rule panels.

However, settings related to the sequences as a whole can be modified via the settings button in the navigation bar. These settings include the sender address, the tracking plan linked to the emails, and whether the sequences are currently active.

Using sequences ensures you're reaching out to your influencers and maintaining good communication by automating follow-up emails. This saves time, allowing you to focus on finding the ideal influencer or building the perfect campaign!


Frequently Asked Questions

1. Can I change the discount plan/tracking plan link in my mailing?

You can change the discount offer link in your mailing only if you haven't sent the mailing yet.

If the mailing has already been sent with the discount plan link, it's not possible to alter it. In such cases, you will need to create and send a new mailing with the updated discount offer link.

2. Can I send 2 coupon codes in the same mailing, one for the influencer and one for their followers?

No, in each mailing, you can only connect with one tracking plan, so technically, you need to send 2 different mailings for this use case. However, there's a trick:

  • When creating a tracking plan, remember the pattern for the extra discount code you want to use, for example, "username+20OFF".

  • In the email content, use the merge field “username” and then manually add “20OFF” behind it.

3. Can we set specific dates and times for the mailing to be sent?

Setting specific dates and times for the mailing to be sent is not possible at the moment.

4. Can I change the email sender after creating my campaign?

Yes, you can change the email sender after creating your campaign, but only if you have not yet invited any influencers.
